This policy is for the The Canyons at Scenic Loop iPhone app and the tools that send neighborhood alerts. It is published for the benefit of the property owners at The Canyons at Scenic Loop. It does not cover the phpBB forum at forum.TheCanyonsAtScenicLoop.com, which has its own policy.
What this app does
Neighbors can see dated community events, look up neighbors who have chosen to share in the membership directory, and receive lock-screen alerts (for example a closed gate, a water notice, or meeting tonight). The general event list is kept up to date by various groups in the community.
Version 3
Version 3 adds the entrance gate. The rest of this policy still applies. The iPhone asks for three more permissions, and only for that gate.
- Location. The app uses your location to notice the entrance as you arrive, then checks the direction you are traveling before it opens the gate. Location is not left running at home. iPhone may ask to use location while the app is open, and to use it always so the phone can notice the entrance when the app is not on screen.
- Motion. The app uses motion to notice the turn onto the entrance road.
- Bluetooth. The app uses Bluetooth to send an open command to the entrance gate. The gate key stays on this iPhone.
After an arrival, the phone can send a timing note to the gate desk. That note can include the GPS position and the motion readings from that arrival. The desk keeps the latest notes so the entrance can be checked. We do not sell them, we do not use them for advertising, and we do not use them to follow you around the neighborhood.
Information we collect
- Owner email. The app asks for the email the management company has on file, or the email a household owner used when they added you. We send a one-time code to that address to prove you can read it. We do not use it for marketing.
- First and last name, email, property address, and phone when provided. The management-company list gives us your email and street address so you can sign in. First and last name, and phone if you add one, come from you in the app (Household), or from an owner who added you to their household. You can choose to list yourself in the membership directory. Directory listing is off until you turn on Share email or Share phone in Household (Your Sharing Settings). Then other signed-in neighbors can see your name and street plus the fields you turned on. Club leads can search the full records to add someone to a club. HOA administrators on the desk page can see the same records they use to load the owner list. We use this to run household lists, the directory, and club rosters, not for marketing.
- Device pass. After the code succeeds, this phone stores a secret so you do not sign in again until you delete the app or we remove that email from the owners list.
- Device notification token. If you tap Allow notifications, Apple gives the app a token. We store that token so we can send an alert to your phone. We do not get your name, Apple ID, or phone number from that token.
- Calendar. If you tap Add to Calendar, iOS may ask for calendar access. That permission is used only to create the event you chose. We do not upload your calendar or read other events.
- Admin login. The desk admin page uses Cloudflare Access so only approved administrators can manage the owners list. Those same people can send lock-screen alerts and add dated events from the iPhone app after they sign in with their owner email.
We do not create neighbor passwords or social-media logins. We do not use advertising identifiers, analytics SDKs, or sell information.
How we use it
The owner email is used only to confirm you belong on the list and to deliver the sign-in code (sent by Resend). Names, streets, emails, and phones are used for household lists, club rosters, and — only if you turn sharing on — the membership directory. Names and phones are entered in the app, not taken from Apple. Not for marketing. The device pass is used to load events and alerts. The notification token is used only to deliver alerts you opted into. Event listings are shown in the app and may also appear on the owners’ website so neighbors are looking at the same schedule.
Where it is stored
Owner emails, names, household and club membership, device passes, notification tokens, and event/alert text are stored on Cloudflare (the service that runs the admin page). Resend delivers the sign-in code and household invite mail. Apple delivers the lock-screen notification.
How long we keep it
A device token is kept until it stops working (you delete the app, or Apple tells us the token is dead) or the developer shuts the service down. Sent alerts stay on the Alerts tab for 14 days, then they drop off. You can hide an alert on your own phone; that does not delete it for others.
Sharing
We do not sell your information. We do not share device tokens with advertisers. Apple sees the notification as part of delivering it. If you turn on Share email or Share phone in Household, other signed-in neighbors can look you up in Directory by name, street, and the fields you chose. That listing is not sold and is not shown to people who are not signed in. Club leads and HOA administrators can see name, street, email, and phone when they have it, so they can run clubs and the owner list, even if you are not listed in Directory.
Children
This app is for property owners and residents. It is not directed at children under 13.
Your choices
- Directory: open Household from Your Sharing Settings and turn Share email and Share phone off. Your name then drops off the public membership list.
- Turn off notifications in iPhone Settings → The Canyons.
- Deny or later revoke calendar access in Settings.
- Location, motion, and Bluetooth: turn them off in iPhone Settings → The Canyons. The entrance gate will not open on its own without them.
- Delete the app to stop new alerts. Existing calendar items you added stay on your phone until you remove them.
